Are you a detail-driven operations professional who thrives on making high-stakes exams run flawlessly? As an
Exams Operations Coordinator, you will own the end-to-end operations of IELTS, Cambridge, and CELTA exam
programmes nationwide — ensuring every exam, from registration to results, is delivered on time, in full
compliance, and to the highest quality standard.
This role sits at the intersection of operations, compliance, and stakeholder management: you will coordinate
directly with centers, invigilators, examiners, and external partners (British Council, Cambridge, International
House) to keep every exam cycle running smoothly, while also building the reporting and processes that keep
leadership, the Ministry of Education and Training (MOET), and awarding bodies fully informed.
KEY RESPONSIBILITIES
1. IELTS Operations
• Coordinate with centers nationwide to run IELTS classes, including:
◦ Managing the class tracker for IELTS classes, monitoring and updating student learning progress throughout
the course.
◦ Managing CEPT codes, guiding and ensuring centers use them correctly per company policy.
◦ Partnering with centers to ensure student care tasks and learning-result reports for IELTS classes are completed
in full.
◦ Building, proactively adjusting, and ensuring centers comply with processes and guidelines related to the
IELTS course.
◦ Training new staff on IELTS class operating procedures.
• Support Apollo students in registering for the IELTS exam at British Council.
2. Cambridge Operations
• Ensure Cambridge exam registration numbers meet the annual business plan set by Cambridge and the
company.
• Operate and organize Cambridge exams at Apollo centers nationwide, including:
◦ Before the exam: scheduling, processing registrations, arranging prep classes, arranging exam rooms and oral
examiners, arranging and training invigilators, and ensuring the quality of the invigilation team.
◦ On exam day: coordinating operations throughout the day.
◦ After the exam: post-exam administrative procedures and results delivery.
• Ensure exam management standards, customer service quality, and compliance with Cambridge and MOET
regulations.
• Complete reports as required by the Ministry/Department of Education and Training, as well as the annual
business plan report for Cambridge.
3. CELTA / Trainee & Teaching Practice Program Operations
• Trainee & Teaching Practice Student Recruitment: accountable for filling every CELTA intake with the
right number and the right quality of learners.
• End-to-End Course Operations (Before – During – After): accountable for every CELTA course running
smoothly and to Cambridge and International House standards.
• Finance, Administration & Compliance: accountable for the programmes' money and paperwork moving on
time and through the correct approval route.
THE IDEAL CANDIDATE PERSONA
To ensure a great cultural and operational fit, we are looking for candidates who possess the following traits:
1. Education & Experience
• Holder of a Bachelor's degree (Business Administration, Education, or a related field preferred).
• Minimum of 2–3 years of experience in exam operations, academic operations, or educational program
coordination — experience with IELTS, Cambridge, or CELTA administration is a strong plus.
• Experience coordinating with external awarding bodies or partners (e.g., British Council, Cambridge,
International House) is a plus.
2. Core Competencies & Skills
• Professional Fluency in English: high proficiency in English (Advanced/C1) — comfortable communicating
and coordinating directly with examiners, invigilators, and international partners.
• Data-Driven & Detail-Oriented: meticulous attention to detail; capable of managing exam registrations,
class trackers, and compliance reports without error.
• High-EQ Communication & Coordination: skilled at coordinating with centers, invigilators, examiners, and
external partners, and resolving operational issues with tact and consistency.
3. Mindset & Working Style
• Compliance-Minded: treats process, regulation, and deadline adherence (MOET, Cambridge, British
Council) as non-negotiable, not a formality.
• System-Builder Mindset: naturally looks for the root cause and builds a repeatable fix, rather than solving the
same problem over and over.
• High Ownership: comfortable owning exam outcomes across many centers at once, and drives operational
improvement without waiting to be asked.
• Thrives Under Pressure: resilient and calm when handling high-stakes exam days or last-minute changes.
WHAT WE OFFER
• Competitive salary package with periodic performance review.
• Premium health insurance and standard labor benefits.
• A dynamic, professional, and multinational educational environment.
• Clear career advancement roadmap toward Senior Management positions.
